Medical firm says sorry after confidential fax error

A MEDICAL company has apologised for sending a fax requesting confidential information to the wrong address.

PAM HO Solutions was looking for details on a Milngavie shop worker but instead of the fax being sent to Ashfield Medical Practice, the fax was sent to the Milngavie and Bearsden Herald instead.

James Murphy, managing director of the Warrington based company, said the mistake was the result of a simple clerical error, but accepted full responsibility for the blunder adding that the fax numbers of the doctors’ surgery and the Herald office are very similar.

He said: “It was an administrative error. We must apologise to the lady. The situation is that she is not in the best of health. We are going to apologise to her in writing.”

Mr Murphy added: “The situation is very, very regrettable and we have now put in place procedures that will stop this happening again.”

In future Mr Murphy said all requests for medical records will be e-mailed and when this is not possible they will send the information by post.

Although sending requests by post will slow down the procedure, Mr Murphy insisted: “This is a price we are willing to pay to keep patient’s records confidential.”

Dr John Lovitt, the intended recipient of the fax, said: “Obviously this is something that we take seriously. I will make sure that we discuss it at the practice meeting as it is a breach of confidence, but not a serious one as there were no detailed information on it.”
